This policy explains what personal information SteadyFlow Consulting collects, why we collect it, who we share it with, and what rights you have over it. It applies to our website at steadyflowconsulting.com, our booking and enquiry forms, our email and messaging communications, and the strategy calls we run.

By using our website or booking a call with us, you agree to this policy. If you do not agree with it, please do not use the site or submit your information to us.

01Who we are

SteadyFlow Consulting ("SteadyFlow", "we", "us", "our") is a marketing and funnel consultancy operating from Mumbai, Maharashtra, India. We help coaches and consultants build client acquisition systems.

Under India's Digital Personal Data Protection Act, 2023, we act as a Data Fiduciary in respect of the personal data described in this policy.

02Information we collect

Information you give us

  • Your name, email address and phone number
  • Your business name, website and social profiles
  • Information about your business that you share when booking a call or during it — your current revenue, how you acquire clients today, your goals and the obstacles in your way
  • Anything else you tell us by email, WhatsApp, SMS or on a call

We do not collect or store payment card details. We do not process payments through this website.

Information collected automatically

  • Your IP address, approximate location, device type, operating system and browser
  • The pages you view, how long you spend on them, the site or advert that referred you, and how you move through our pages
  • Whether you opened or clicked the links in our emails

Call recordings

We record our strategy calls. This is covered in full in Section 6.

03Cookies and tracking

We use cookies and similar technologies — including pixels and web beacons — to keep the website working, remember your preferences, measure how our pages perform, and understand which advertising brings people to us.

The tools we currently use are Google Analytics, which tells us how visitors move through the site, and the Meta (Facebook) Pixel, which measures the performance of our advertising and allows us to show ads to people who have visited our pages. Our website and CRM are hosted on GoHighLevel, which sets cookies necessary for forms and booking to function.

These third parties set their own cookies and may combine what they learn here with information they hold about you from other websites. We do not control those cookies, and their own privacy policies govern how they use that data.

Most browsers allow you to refuse or delete cookies through their settings. If you block them, parts of this site — including the booking calendar — may stop working properly.

04Why we use your information

  • To schedule and run your call. Confirming your booking, sending reminders and calendar invitations, and preparing before we speak.
  • To review and qualify enquiries. Deciding whether we are a fit for your business before we commit time to a call.
  • To deliver our services if you go on to work with us.
  • To contact you about your booking, your enquiry, or your engagement with us.
  • To market to you — sending offers, case studies and information about our services, where you have given us your details and not opted out.
  • To improve what we do — understanding which pages, adverts and messages work, and which do not.
  • To meet our legal obligations, and to establish, exercise or defend legal claims.

05Consent and your choices

We collect and use your personal data on the basis of the consent you give when you submit a form, book a call, or share information with us directly. Before you give it, this policy tells you what we collect and why, so that your consent is informed.

You can withdraw your consent at any time by writing to [email protected]. Withdrawing it is as straightforward as giving it. Please note that withdrawing consent does not affect anything we did lawfully before you withdrew it, and that if you withdraw consent for information we need in order to work with you, we may no longer be able to provide our services.

Where we are required by law to retain certain records, we will continue to hold those for the period the law requires, even after you withdraw consent.

06Calls and recordings

We record our strategy calls. These calls take place over Google Meet, which notifies everyone present when a recording begins.

We record for training, quality and reference purposes — so that we can revisit what was discussed, improve how we run these conversations, and hold an accurate record of what was agreed.

You may ask us not to record your call. Tell us at the start and we will not begin recording. You may also ask us to delete a recording after the call by emailing us. Recordings are kept for as long as is necessary for the purposes described above, and are not shared outside our team without your permission unless we are legally required to disclose them.

We also take written notes during calls. These are stored in our CRM and handled in line with this policy.

07Marketing messages and DND

When you give us your phone number or email address, you agree that we may contact you by phone, SMS, WhatsApp and email about your booking and about our services.

This applies even if your number is registered on the National Do Not Call / DND registry, because you have provided your contact details to us directly and asked us to get in touch. This consent stands until you withdraw it.

You can opt out of marketing at any time — reply STOP to any message, use the unsubscribe link in any email, or write to [email protected]. We will act on your request promptly. We may still contact you about a booking you have made or an engagement that is active.

08Who we share your information with

We do not sell your personal information. We share it only in the following situations:

  • Service providers who run our systems. These include GoHighLevel (our website, CRM, forms, booking calendar, email and SMS), Google (Meet, Calendar, Analytics and email), Meta (advertising and measurement), and WhatsApp for messaging. They may use your data only to provide those services to us.
  • Professional advisers such as our accountants or lawyers, where it is necessary.
  • Authorities, where we are legally required to disclose information, or where disclosure is necessary to protect our rights, investigate fraud, or protect someone's safety.
  • A buyer or successor, if our business is sold, merged or reorganised. If your data were to become subject to a different privacy policy, we would tell you first.

09Where your information is stored

We operate from India, but several of the services we rely on — including GoHighLevel, Google and Meta — store and process data on servers located outside India, principally in the United States. This means your information may be held in a country whose data protection laws differ from India's.

We take reasonable steps to ensure these providers handle your data securely and only as instructed. Where the Government of India restricts the transfer of personal data to a particular country, we comply with that restriction.

10How long we keep it

We keep personal information only for as long as we need it for the purposes set out in this policy, and afterwards for as long as we are legally required to retain records.

  • Enquiries and bookings — up to 24 months after your last contact with us
  • Client records — up to 7 years, to meet tax and accounting requirements
  • Call recordings and notes — for as long as necessary for the purposes described in Section 6
  • Analytics data — retained in aggregated form that no longer identifies you individually

You may ask us to delete your data sooner. See Section 12.

11Security

We use reasonable technical and organisational measures to protect your information, and we limit access to those people on our team who need it to do their work. Our systems are protected by access controls and passwords, and we rely on established providers who maintain their own security standards.

No system is completely secure, and we cannot guarantee the absolute security of information transmitted over the internet. If a breach occurs that affects your personal data, we will notify you and the relevant authority as required by law.

12Your rights

Under India's Digital Personal Data Protection Act, 2023, you have the right to:

  • Access — ask what personal data we hold about you, and receive a summary of how it is being processed
  • Correction — have inaccurate or incomplete data corrected, completed or updated
  • Erasure — ask us to delete your data, where we are not required by law to keep it
  • Withdraw consent — at any time, as easily as you gave it
  • Nominate — appoint another person to exercise these rights on your behalf in the event of your death or incapacity
  • Grievance redressal — raise a complaint with us and have it addressed

To exercise any of these rights, email [email protected]. We will respond within the time the law requires. We may need to verify your identity before we act, to make sure we are not disclosing your data to someone else.

If you are unhappy with how we have handled your request, write to us again at the same address with "Grievance" in the subject line and your complaint will be escalated for review. If it remains unresolved, you may take it to the Data Protection Board of India.

If you are accessing this website from outside India, additional rights may apply to you under your local law. Write to us and we will address your request in line with whichever law applies.

13Children

Our services are intended for business owners and are not directed at children. We do not knowingly collect personal data from anyone under the age of 18. If you believe a child has provided us with their information, please contact us and we will delete it.

14Links to other websites

Our website and our messages may link to services we do not operate. We are not responsible for their content or their privacy practices. We encourage you to read their policies before sharing any information with them.

15Changes to this policy

We may update this policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If a change is significant, we will tell you by email or through a notice on the website. Please review this page from time to time.
